Create a meeting agenda that keeps it short
This prompt creates an agenda for a meeting of a length you choose. You give the purpose, attendees, decisions needed and pre-reading, and it time-boxes each item, names who leads it and labels it inform, discuss or decide.
Create an agenda for a [LENGTH]-minute meeting. Purpose: [WHY WE ARE MEETING] Attendees: [ROLES] Decisions needed: [DECISIONS] Pre-reading: [DOCS] Time-box each item, mark who leads it, and label each as inform, discuss or decide. Put decisions first. Add a 5-minute wrap-up for actions. If this could be an email, tell me.
Send the agenda a day early with the decisions listed in the invite.
Get a better result
A time-boxed agenda with each item marked inform, discuss or decide and who leads it, decisions put first, a 5-minute wrap-up for actions, and a note if the meeting could be an email.
The agenda lists topics but no decisions.
Fix: Fill the decisions line with specific questions, such as “approve the budget or send it back”. Each one becomes a decide item.
- There are too many items for the time. Say “maximum five items, move the rest to a follow-up”. If the list still overflows, take the hint that it should be two meetings.
- Nobody reads the pre-reading. Keep it to one page and put the key question in the invite, as the tip suggests.
Change it to “a 15-minute daily stand-up for six people, each gives yesterday, today and blockers in one minute, and blockers are handled afterwards”.
Make it shorter and more specific to my situation. If you need more detail, ask me up to 3 questions first.
