Say no without damaging the relationship
This prompt writes three versions of a refusal for a request: one short and firm and one warm with a reason. You supply who asked, what they want and your true reason. Pick the tone that suits the relationship.
Write 3 ways to say no to this request. Who asked: [PERSON AND RELATIONSHIP] The request: [WHAT THEY WANT] Why I cannot: [TRUE REASON, e.g. full workload this month] Version 1: short and firm. Version 2: warm with a reason. Version 3: decline but offer an alternative (a later date, a smaller version or another person). No over-apologising and no false promises.
Pick the version that matches the relationship. Version 3 works well with a manager.
Get a better result
Three versions of a polite no: one short and firm, one warm with a reason and one that declines but offers an alternative, with no over-apologising and no false promises.
The reason is invented to sound better.
Fix: Use a true reason, as the prompt asks. A made-up excuse can come back to cause trouble later.
- The reply is so soft that it sounds like a maybe. Add “the word no, or a clear equivalent, must appear in the first sentence”.
- The alternative offers something you cannot really deliver. Put your real option in the request line, such as “I can help next month” or “I can review it but not write it”.
Change the relationship to a close friend and ask for “casual and short, like a text message”. The same three versions work for a personal request.
Make it shorter and more specific to my situation. If you need more detail, ask me up to 3 questions first.
