Here is an email I am about to send to [RECIPIENT AND RELATIONSHIP]:

[PASTE EMAIL]

Tell me how it is likely to come across (for example curt, passive-aggressive, unclear or too apologetic). Quote the exact phrases that cause that impression, then rewrite the email so it sounds [DESIRED TONE, e.g. warm but direct]. Keep it under [WORD COUNT] words.

Tell the AI who the reader is and what you fear they will feel, and you will get sharper edits.

What you will get

A verdict on how your email will probably read (curt, unclear, too apologetic), the exact phrases behind that impression, and a rewrite in the tone you want within your word limit.

Common mistake

The rewrite softens the request so much that the deadline disappears.

Fix: Add “keep the deadline, the request and every number exactly as they are, change only the wording around them”.

Also watch for
  • The verdict is general, with no phrases quoted. Reply “quote the three phrases that cause the worst impression, and explain what each might make the reader feel”.
  • The rewrite sounds like a stranger wrote it. Say “keep my greeting, my sign-off and my usual short sentences”. People notice when an email stops sounding like you.
Try a variation: three readers

Add “tell me how the email might read to each of: my manager, a colleague who is behind, and a client who is new to us”. One email can land differently with each reader.

Still not right? Reply with this

Keep the deadline and the request unchanged, quote the three phrases that cause the problem and keep my greeting and sign-off as they are.
